RED-FSS — Privacy Policy

This Privacy Policy explains how Restaurant Equipment Diagnostics LLC (“RED,” “we,” “us”) collects, uses and shares information in connection with the RED-FSS field service management application and related websites and services (the “Service”).
1. Our two roles
RED-FSS is business software. Who is responsible for personal information depends on whose information it is.
- Information about our subscribers — the companies that license RED-FSS, their account owners and administrators — We are the controller. This policy governs how we handle it.
- Information a subscriber's technicians and staff enter, and information about that subscriber's own customers and job sites — We are a processor handling it on the subscriber's behalf and under their instructions. The subscriber is the controller and its own privacy policy governs.
If you are a customer of a company that uses RED-FSS and you want to access, correct or delete your information, contact that company directly. We will assist them but we cannot act on their data without their instruction.
2. Information we collect
Account and contact information
Name, business name, email address, phone number, job role, and login credentials. Passwords are stored in hashed form.
Location information
Where a subscriber enables it, the Service collects device location from technicians' devices to support dispatch, routing, job site check-in and arrival verification, and to record where work was performed.
Location is collected only while the app is in use. If a subscriber turns on background location for dispatch and routing, the app requests that permission separately and your device will indicate when it is active. Location collection can be disabled at any time in device settings, which will limit some features.
Camera, photographs and media
Photographs and files uploaded to document equipment, job sites and completed work. These may contain metadata such as time and location if enabled on the device.
Signatures
Electronic signatures captured on device to acknowledge work performed or authorize services, together with the time and, where enabled, location of capture.
Service and equipment records
Work orders, job notes, diagnoses, parts used, labor time, equipment makes, models and serial numbers, warranty status, and service history.
Customer records entered by subscribers
Names, business names, service addresses, phone numbers, email addresses, job site details and service history of the subscriber's own customers.
Payment information
See Section 7. We do not store full payment card numbers on our systems.
Device and usage information
Device model, operating system and version, app version, unique device or installation identifiers, IP address, language settings, crash reports, diagnostic logs, and information about features used and actions taken in the app.
Communications
Messages you send us for support, and records of those exchanges.
3. Device permissions
The Service may request the following permissions. You can grant or revoke each in your device settings; revoking a permission will disable the related feature.
- Location — Dispatch, routing, job site check-in and arrival verification, and recording where work was performed
- Camera — Photographing equipment, job sites, data plates and completed work
- Photo library — Attaching existing photographs to work orders
- Notifications — Job assignments, schedule changes and dispatch alerts
- Storage / files — Saving and attaching documents and offline work order data
4. How we use information
- Provide, operate and maintain the Service
- Create and administer accounts and authenticate users
- Process subscriptions, payments and billing
- Enable dispatch, scheduling, routing and job documentation features
- Provide customer support and respond to requests
- Send service-related communications, including security and billing notices
- Monitor, troubleshoot, secure and improve the Service, including through crash and diagnostic data
- Detect, investigate and prevent fraud, abuse and security incidents
- Comply with legal obligations and enforce our agreements
- Produce de-identified, aggregated analytics that do not identify any individual
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not use Customer Data to train machine learning models that serve other customers.
5. How we share information
We share information only as described here:
- Within your organization. Information entered in the Service is visible to your account's authorized users according to the permissions your administrators set.
- Service providers (subprocessors). Vendors who perform services for us under contract, including cloud hosting, payment processing, mapping and location services, error and analytics reporting, email and messaging delivery, and customer support tooling. They may use the information only to provide services to us.
- App stores. Where you subscribe through Apple or Google, that store processes your purchase and provides us limited transaction information.
- Legal and safety. When we believe disclosure is required by law, or reasonably necessary to protect the rights, property or safety of RED, our users or the public.
- Business transfers. In connection with a merger, acquisition, financing or sale of assets, subject to this policy continuing to apply or notice being given.
- With your direction or consent.

6. QuickBooks Online integration
RED-FSS offers an optional integration with Intuit QuickBooks Online. The integration is off until a subscriber connects it, and connecting requires signing in to Intuit and granting access through Intuit’s own authorization screen. RED never sees or stores your Intuit password.
What we access. When connected, we access only the QuickBooks data needed to turn work orders into invoices and keep them in sync: customer records, products and services, invoices, estimates, payment status, and basic company and tax settings.
What we do with it. We create and update invoices and customer records from information entered in RED-FSS, and we read payment status back so technicians and office staff can see whether a job has been paid. We do not use QuickBooks data for advertising, we do not sell it, and we do not share it with other subscribers.
Access tokens. We store the access and refresh tokens Intuit issues so the connection can stay active. Tokens are encrypted at rest and are used only to make requests to QuickBooks on your behalf.
Disconnecting. You may disconnect at any time in RED-FSS settings, or from the Apps section of your QuickBooks company. Disconnecting revokes our tokens immediately and stops all further access. Data already written into your QuickBooks company remains there under your control; QuickBooks data cached in RED-FSS is deleted within 30 days of disconnection.
7. Payment information
Payment card transactions are processed by a third-party payment processor. Card data is transmitted directly to that processor and handled under its privacy policy and security standards.
We do not store full payment card numbers on our systems. We may retain limited transaction records such as the last four digits, card brand, amount, date and authorization status for accounting, support and dispute resolution.
Subscribers who collect payment from their own customers through the Service are responsible for their own compliance obligations, including under the Payment Card Industry Data Security Standard where applicable.
8. Retention
We retain personal information for as long as needed to provide the Service and for legitimate business purposes such as legal compliance, dispute resolution and enforcing agreements.
- Active accounts. Retained for the duration of the subscription.
- After termination. Customer Data is available for export for 30 days, then deleted or de-identified within 90 days, except where longer retention is required by law.
- Backups. Residual copies may persist in backups for up to 35 days before being overwritten.
- Billing records. Retained as required by tax and accounting law.
9. Security
We use administrative, technical and physical safeguards designed to protect information, including encryption in transit using TLS, encryption at rest by our hosting provider, access controls, and role-based permissions. Access to production systems is restricted to personnel who need it.
No method of transmission or storage is completely secure. We cannot guarantee absolute security, and you are responsible for safeguarding your credentials and devices.
10. Your choices
- Access and correction. Account administrators can view and update account information in the Service.
- Permissions. Location, camera, photo and notification permissions can be changed in device settings at any time.
- Marketing email. Unsubscribe using the link in any marketing message. We will still send service, security and billing communications.
- Deletion. Request deletion of your account and associated data at Service.redwv@yahoo.com. If you are an end customer of a company that uses RED-FSS, contact that company.
11. US state privacy rights
Residents of California, Colorado, Connecticut, Virginia, Utah and other states with comprehensive privacy laws may have rights to know what personal information we hold, to access a copy, to correct inaccuracies, to request deletion, and to appeal a denial. Some states also provide a right to opt out of sale or targeted advertising.
We do not sell personal information and do not engage in cross-context behavioral advertising, so no opt-out is required for those activities.
To exercise a right, contact Service.redwv@yahoo.com. We will verify your request, which may require confirming information we already hold. We will not discriminate against you for exercising a right. You may use an authorized agent where the law permits.
12. International users
The Service is operated from the United States, and all information is processed and stored in the United States. The Service is offered to business customers located in the United States. If you access the Service from outside the United States, you do so on your own initiative and are responsible for compliance with local law.
13. Children
The Service is business software intended for use by adults in a commercial setting. It is not directed to children and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided information to us, contact us and we will delete it.
14. Changes
We may update this Privacy Policy. We will revise the “Last updated” date above and, for material changes, provide notice through the Service or by email before the change takes effect. Continued use after that date constitutes acceptance.
